AUTHENTICATION PROCEDURES FOR

FOREIGN DOCUMENTS

USED IN INDONESIA

  1. To understand the procedure and requirements to authenticate commercial documents or to certify  personal documents in Indonesia for foreign use, please contact the Clearance and Legalization Division, Directorate of Consular Affairs, Department of Foreign Affairs in Jakarta

    And then also contact the foreign mission (embassy or Consulate) of the country of destination.

  2. To authenticate foreign commercial documents  to be used in Indonesia from  the Indonesian Consulate General in Chicago (only for applicants live or located in Midwest area), send the following requirements:

    • documents   certified by the concerned Secretary of State;

    • Legalization fee (vide : Consular Immigration Fee).

    • Prepaid self-addressed return envelope.

    Consulate will not accept   documents that lack of certification by the Secretary of State.

     

  3. The procedural requirements to certify the documents belong to the Indonesian living in Midwest area:

a. Authorization Letter/Surat Kuasa, the applicant is required to  appear in the  Consulate  and sign the documents before the Consular official. The applicant must show the valid passport and Identity Card and pay certification fee. If for some acceptable reasons, the applicant is unable to present in the Consulate, the request by mail is acceptable provided the applicant has been registered in the Consulate and send  the following requirements :

  • original valid  passport;

  • original document to be certified;

  • letter to the Consulate and attach 2 two samples of applicant’s signature (must correspond with the passport signature);

  • certification fee . (vide: Consular and Immigration Fee);

b.   To import used personal goods, diploma, import of pets. Send the following documents to the Consulate:

To import used Personal Goods

To certify use personal goods from the Consulate, the applicant has been registered in the Consulate. For those unregistered must show the proof that they are residents in the US for more than 1 year. Personal goods sent to Indonesia must have been used for more than  6 months (proof of purchase for electronics devices is required) and are not contained of prohibited goods or restricted goods that require permit from the concerned authority in Indonesia. Requirements:

  • complete application form

  • lists of goods;

  • original passport;

  • certification fee;

  • Complete and sign the form without whiteouts and/or scratches.

For Diploma:

  • original diploma and its 10 copies

  • original passport:

  • certification fee;

         For Importation of Pets:

  • completed application form;

  • original passport;

  • original health certificate and free of rabies vaccination certificate from the local veterinarian;

  • certification fee;

Pets to be imported must enter the designated port of entry and then at the airport of arrival, contact the Airport Quarantine Office.

The Consulate will not accept a personal check (only money order).

The authentication or certification issued  is intended only to recognize seal, signature of the official that certified the document or to recognize the name and signature of Indonesian citizen signing the document that allow the documents  to be accepted in Indonesia.  The authenticity of the contents of the documents remain on  the applicant responsibility.
